Director of Marketing

Reports To: Executive Director
Status: Exempt

Responsible for planning, development, and implementation of all of the Organization’s marketing strategies, marketing communications, and public relations activities, both external and internal. Directs the efforts of the marketing, communications and public relations staff and coordinates at the strategic and tactical levels with the other functions of the Organization.

Primary Relationships
The position reports to the Executive Director and serves as a member of the senior management team.

This position participates with the Board of Directors, Executive Director and other management staff in charting the direction of the Organization, assuring its accountability to all constituencies, and ensuring its effective operation.

Within the Organization, the position has primary working relationships with the Executive Director, senior management team, staff of the Marketing/Communications/P.R. function, and the service providers.

Outside the agency, the position coordinates, primarily, with the media.

Marketing, communications and public relations
1. Responsible for creating, implementing and measuring the success of:

    • • all Organization marketing, communications and public relations activities and materials including publications, media relations, client acquisition and so forth.
      • a comprehensive marketing, communications and public relations program that will enhance the Organization’s image and position within the marketplace and the general public, and facilitate internal and external communications; and,
      • series and singlet ticket revenue projections. Advise artistic department on marketing feasibility issues for specific artists or events.
      • annual marketing and ticket services department budgets. Oversee all marketing and ticket services department income and expenses, ensuring adherence to budget and plan.
      • Organization’s merchandising activities; manage all concession activity and ensure that house concessions at all venues maximize revenue potential and meet quality standards.
      • taking on other duties as assigned.

2. Ensure articulation of Organization’s desired image and position, assure consistent communication of image and position throughout the Organization, and assure communication of image and position to all constituencies, both internal and external.
3. Responsible for editorial direction, design, production and distribution of all Organization publications.
4. Coordinate media interest in the Organization and ensure regular contact with target media and appropriate response to media requests.
5. Act as the Organization’s representative with the media, in collaboration with the Marketing Manager.
6. Coordinate the appearance of all Organization print and electronic materials such as letterhead, use of logo, brochures, etc.
7. Ensure that the Organization regularly conducts relevant market research and coordinate and oversee this activity. Monitor trends.
8. Leads projects as assigned, such as cause-related marketing and special events.
9. Oversee all front-of-house management, working closely with the La Jolla Music Society’s House Manager and ushering staff, as well as house and box office staff in other venues.

Planning and budgeting
1. Responsible for the achievement of marketing/communications/public relations mission, goals and financial objectives. Ensure that evaluation systems are in place related to these goals and objectives and report progress to the Executive Director.
2. Develop short- and long-term plans and budgets for the marketing/communications/ public relations program and its activities, monitor progress, assure adherence and evaluate performance.
3. Recommend short- and long-term Organizational marketing goals and objectives to the Executive Director.
4. Develop, implement and monitor internal systems and procedures necessary to the smooth operation of the marketing/communications/public relations function.
5. Keep informed of developments in the fields of marketing, communications and public relations, not-for-profit management and governance, and the specific business of the Organization and use this information to help the Organization operate with initiative and innovation.

Organizational strategy
1. Work with senior staff and other staff to:

    • • develop and maintain a strategic perspective — based on marketplace and constituent needs and satisfaction — in organizational direction, program and services, and decision-making; and,
      • ensure the overall health and vitality of the Organization.

2. Help make sure that the Organization’s philosophy, mission and vision are pertinent and practiced throughout the organization.
3. Develop and coordinate means to seek regular input from the Organization’s key constituencies regarding the quality of programs and services and the Organization’s relevance.
4. Help formulate and administer policies to ensure the integrity of the Organization.
5. Act as an internal consultant to bring attention and solutions to institutional priorities.

1. Maintain a climate that attracts, retains and motivates top quality personnel, both paid and volunteer.
2. Recruit, train, appraise, supervise, support, develop, promote and guide qualified personnel, both paid and volunteer.
3. Ensure effective management within the marketing, communications and public relations function, with provision for succession.
4. Design, support and oversee cross-functional teams throughout the Organization.
5. Effectively enable staff so they can take action on behalf of the Organization by:

    • a) transmitting the Organization’s values, vision and direction;
      b) engaging people in the meaning of the Organization;
      c) respecting and using the skills, expertise, experience and insights of people;
      d) providing direction and resources, removing barriers and helping develop people’s skills; articulating expectations and clarifying roles and relationships;
      e) communicating which includes helping people transform information into knowledge and learning;

• Demonstrated skills, knowledge and experience in the design and execution of marketing, communications and public relations activities.
• Advanced knowledge of Tessitura, the Organization’s CRM software.
• Strong creative, strategic, analytical, organizational and personal sales skills.
• Experience developing and managing budgets, and hiring, training, developing, supervising and appraising personnel.
• Demonstrated successful experience writing press releases, making presentations and negotiating with media.
• Experience overseeing the design and production of print materials and publications.
• Computer literacy in word processing, data base management and page layout.
• Commitment to working with shared leadership and in cross-functional teams.
• Strong oral and written communications skills.
• Ability to manage multiple projects at a time.
• Out-of-town, overnight travel is required.
• Ability to lift a minimum of 30 pounds.

• Minimum of 5 years experience in marketing, communications or public relations with demonstrated success, preferably in the not-for-profit or association sector.
• Bachelors degree in journalism, marketing, public relations preferred. Graduate degree in a related field is desirable.
• Experience working with volunteers is desirable.
• Concert attendance is mandatory which will include evenings and weekends.

Facility Manager

The Conrad Prebys Performing Arts Center

The Conrad Prebys Performing Arts Center seeks a full-time Facility Manager for their 49,000 square-foot performing arts center. The position will report to the Director of Theatre Operations. This individual will be responsible for the ongoing maintenance of the facility including its mechanical systems, housekeeping, grounds-keeping, and public safety. He/She will manage various service agreements with third party vendors, as well as coordinate inspections, testing, permits, and licenses as required by law.

Direct Reports:

    • • Contract House Keepers, Grounds Keepers, and Security Personnel.

Duties and Responsibilities:

    • • Function as a superintendent and maintain the building and grounds of The Conrad, directing staff and overseeing the upkeep of architecture, equipment, and supplies.
      • Responsible for the operations of building mechanical systems such as HVAC, lighting, and security, as well as determining the ongoing schedule of repairs, landscape services, renovation projects, waste management, and safety inspections.
      • Coordinate regular testing and inspections of the mechanical, hydraulic, and fire safety systems, and identify and remedy any potential safety hazards for guests or staff.
      • Develop daytime and evening staff schedules for contracted (outside) employees in housekeeping, security, and building maintenance.
      • Manage public safety, including contract security personnel, camera systems, and keycard access for staff and renters to various parts of the building.
      • Directly engage in minor maintenance and spot cleaning as required throughout the day.

      • Other duties as assigned.

• At least 3 years of experience in facility management or engineering within a major facility.
• A related degree or certification is preferred but equivalent experience will be considered.
• Exhibit keen attention to detail and analytical skills.
• Must demonstrate excellent leadership and communication.
• The individual must be tech-savvy and familiar with Building Management Systems, building access, camera, lighting, and other computer-controlled systems.

Programming Assistant / SummerFest Music Librarian

Department: Artistic and Education

Status: Part-time (Year Round)
Pay Rate: $14 per hour

45 weeks / 21 hours per week (Ideal schedule is M, W, F 9AM – 5PM)
3 weeks (the duration of SummerFest in August) / 29 hours per week (hours vary depending on festival needs)
*Must be able to work occasional nights and weekends throughout the year and have full availability throughout SummerFest

LJMS contributes to San Diego’s cultural vitality through year-round multi-disciplinary presentations of internationally-acclaimed chamber music, recitals, orchestras, jazz, dance, and special events, in addition to our annual chamber music festival, SummerFest.

The Programming Assistant / SummerFest Music Librarian will support the Programming Department by managing the department’s daily administrative operations, assisting with Artist logistics, helping facilitate the execution of Education Programs, and collaborating on projects developed by the Director of Programming.

Programming and Education Responsibilities

    • • Assist the Programming Coordinator in managing logistics and tasks related to visiting Artists (i.e. travel arrangements, itineraries, rehearsal schedules, backstage hospitality, etc.)
      • Facilitate contract processing
      • Concert duty as assigned (weekends and evenings)
      • Provide Artist transportation as assigned
      • Utilize Artistic and Education databases as needed for scheduling, ticket tracking, and other departmental needs
      • Coordinate the allocation and distribution of Education Tickets for specific Winter Season performances
      • Assist the Education and Community Programming Manager with the planning, scheduling and execution of Artist residencies, student performances, seminars, and masterclasses throughout the Winter Season and SummerFest
      • Support communication of important dates to ticket holders, internal staff, and board members
      • Process and track all department check requests
      • Maintain departmental calendar
      • Assist Director of Programming with projects as assigned
      • Track complimentary ticket needs

SummerFest Music Librarian Responsibilities

    • • Manage all aspects of SummerFest music preparation, distribution and collection including but not limited to photocopying, assembling, marking string parts, and obtaining scores for filing
      • Track distribution and collection of all music including electronic and original copies
      • Prepare binders for SummerFest Recording Engineer including clean copies of scores for every program piece performed in the festival
      • Prepare and manage Music Checks throughout SummerFest by creating extra bound copies of music and scores for works with 8 or more performers
      • Concert duty for SummerFest concerts as assigned
      • Maintain organization of Music Library

• College degree obtained or in progress preferred
• Knowledge of classical music repertoire
• Thrives in a multi-project environment
• Excellent interpersonal and oral communication skills
• Friendly and professional demeanor. Able to communicate effectively in front of large groups, with visiting Artists, children, local community leaders, school administrators, and LJMS donors, and patrons
• Experience with Arts Vision and Tessitura a plus, but not required
• Fluency in Spanish a plus, but not required
• Must be able to lift up to 30 lbs.
Must have a valid driver’s license and reliable transportation.

Part-Time Ticket Sales & Customer Service Representative

Department: Marketing/Ticket Office
Reports to: Ticket Services Manager
Status: Part-time hourly
Pay Rate: $12.00/hour plus ticket privileges

La Jolla Music Society, San Diego’s premier performing arts presenter, is seeking a Ticket Services Representative to join our dynamic team of employees. Ticket Services Representatives are responsible for delivering high-quality customer service to all LJMS ticket buyers and donors. The position serves as an on-site box office representative at the LJMS Ticket office and at selected LJMS performances. Duties include ticket and merchandise sales, dispensing of will call, the promotion of LJMS events and the distribution of LJMS promotional materials. Other responsibilities include directing administrative calls, daily reconciliation and banking.

• At least 1- 2 years’ experience in customer service, cash handling a plus.
• High level of organization and attention to detail.
• Ability to maintain confidential information and data
• Proficiency with Microsoft Office programs, Word, Excel, and Outlook.
• Working some evenings and weekends required.
• Interest in classical music or performing arts a plus.
• High school completion or equivalent.
